Terms & Conditions for Empowering.Fit

These Terms & Conditions (“Terms”) govern your access to and use of services provided by Empowering.Fit (“we,” “us,” “our”). By purchasing, booking, or participating in any service, you agree to these Terms in full.

1. Services Provided

We offer:

  • In-person personal training

  • Hybrid coaching (in-person + online)

  • Online coaching (monthly, 3-month, and 6-month plans)

  • Membership-based training options

  • Session packages

These services may be updated or modified at any time.

2. Payment & Billing

2.1 In-Person Training

In-person services are billed either:

  • As non-rollover monthly plans, or

  • As session packages

Unused sessions in non-rollover monthly plans expire at the end of the billing cycle and do not carry over.

2.2 Online Coaching

Online coaching may be purchased as:

  • Month-to-month

  • 3-month commitment

  • 6-month commitment

Pricing and commitment level will be clearly stated at the time of purchase.

2.3 Payment Terms

Most billing for services is processed through QuickBooks invoicing, where clients may pay using the available payment methods provided on their invoice. In-person training, hybrid coaching, and general services are typically billed through this system unless otherwise specified.

Online coaching clients are billed through Stripe, which securely processes payments for monthly, 3-month, and 6-month coaching plans.

All payments must be made in full at the time of purchase unless otherwise agreed upon in writing.
We reserve the right to suspend or terminate services if invoices are unpaid, declined, or past due.

3. Refund Policy

We maintain a firm no-refund policy on all coaching and training services, including:

  • In-person session packages

  • Non-rollover monthly plans

  • Online coaching plans

  • 3-month and 6-month coaching contracts

  • Month-to-month coaching after billing has processed

The only exception:
Refunds may be issued during business hours on the same day of purchase only.
After that day, all sales are final.

If a client chooses not to resume services after a membership hold or coaching pause (see Section 6), unused sessions or services are forfeited without refund or reimbursement.

4. Cancellations, No-Shows & Rescheduling

4.1 12-Hour Policy

Canceling within 12 hours of a scheduled session or failing to appear results in:

  • The session being charged in full, and

  • The session credit being forfeited

4.2 Rescheduling

A rescheduled session is allowed once at no additional cost.
However, if a rescheduled session is canceled for any reason, that session is charged and forfeited.

Repeated rescheduling may be denied.

5. Coaching Commitments & Agreements

Purchasing a 3-month or 6-month plan constitutes a binding coaching contract.
You are financially responsible for the entire term chosen at purchase.

Month-to-month coaching automatically renews unless canceled prior to the next billing date.

6. Membership Holds / Pausing Coaching

Clients on a 3-month or 6-month contract may pause their membership:

  • Once every 6 months

  • For a maximum of 2 months

No refunds will be issued for paused memberships, but unused services will resume when the client returns.


If a client does not return, remaining services are forfeited without refund.

7. Health Information, PAR-Q, and Client Disclosures

All clients must complete required intake forms before beginning training, including:

  • PAR-Q

  • Health and injury disclosures

  • Diet and nutrition questionnaires

  • Exercise history and wellness assessments

By participating in any fitness or coaching service, you certify that:

  • All information provided is accurate

  • You have disclosed relevant health conditions

  • You take responsibility for seeking medical clearance when needed

Failure to disclose important health information may result in termination without refund.

8. Assumption of Risk & Liability Waiver

Fitness training carries inherent risks. By participating in any Empowering.Fit service, you acknowledge that:

  • You voluntarily assume all risks associated with physical activity

  • You release Empowering.Fit and its trainers from liability for injuries, accidents, or health complications

  • You understand that results are not guaranteed

  • You are responsible for monitoring your own health and safety

This waiver does not exclude liability where such exclusion is prohibited by law.

9. Termination of Services

We may terminate coaching or training services at any time if:

  • A client violates these Terms

  • A client behaves in a disruptive, unsafe, or inappropriate manner

  • A client withholds necessary health information

  • Payment is late, declined, or repeatedly overdue

No refunds will be issued if termination results from client misconduct or non-compliance.

10. Use of CoachRX and Third-Party Tools

Online coaching uses CoachRX for training delivery, communication, and progress tracking. By using our services, you agree to CoachRX’s Terms & Privacy Policy and allow your data to be stored within their system.

We also use external tools such as:

  • QuickBooks

  • Stripe

  • Calendly

  • ManyChat

  • Mailchimp

These tools process information only as required to deliver services.

11. Intellectual Property

All training programs, content, videos, templates, and materials provided by Empowering.Fit:

  • Are the exclusive property of Empowering.Fit

  • May not be copied, shared, distributed, or reproduced

  • Are for personal use only

Violation may result in termination of services or legal action.

12. Changes to These Terms

We may update these Terms at any time.
The latest version will always be posted on this page.
Continued use of services indicates acceptance of updated Terms.
